From the email mountain to the daily memo
The same picture every morning: the inbox is full, and behind every email hides a small decision. Who is responsible? How urgent is it? Do I need to reply, or is a note enough? This repetitive sorting and assigning work eats hours that are missing for relationships, creativity and strategic work.
The idea behind it
A well-built toolchain does this work quietly in the background. It reads, classifies, summarises and puts ready-prepared tasks where your team already works. What remains is no longer a mountain but a short daily memo: the essentials, sorted by role and priority.
The process chain in four steps
-
01Inbox
100 unfiltered emails
A daily inbox full of requests, feedback, urgencies & noise.
Inbox buffer -
02AI filtering
Categorise
Intelligent classification: urgency & intent, spam & newsletters gone.
n8n + Claude / Langdock -
03Synthesis
Synthesis & roles
Concrete key points and precise action items for specialist teams (dev, sales, HR).
Claude / Copilot prompt -
04Kanban board
Automatic tasks
Tickets in the right board with a pre-briefing, priority and responsible owner.
Notion / Linear / Jira
- -85%Routine time
- InstantTeam clarity
What happens in each step
1. Inbox. All emails first flow into a buffer. Nothing gets lost, and nothing has to be handled immediately.
2. AI filtering. A workflow (for example in n8n or Langdock) has Claude classify every email: how urgent is it, and what does the sender want? Spam and newsletters disappear from view.
3. Synthesis. From the rest come concrete key points and precise action items, tailored to the specialist teams, such as development, sales or HR.
4. Kanban board. The tasks land as tickets in the right board, with a pre-briefing, priority and responsible person, for example in Notion, Linear or Jira.
What you get
Instead of 90 minutes of monotonous sorting, you review the prepared tickets in about five minutes. No requests get lost, and responsibilities are clear. The time you gain is yours.
What stays with you
The AI prepares, you decide. Whether a reply goes out, a task gets reprioritised or something is deliberately left alone remains your decision. That is exactly what we practise in coaching: you build the chain yourself, understand every step and can adapt it at any time.
